About the Role

As Operations Manager, you own how the company actually runs. That means service delivery coordination across analyst and engineering teams, vendor and licensing management, process design, capacity planning, and the reporting that tells leadership whether we are healthy or drifting. You are the person who notices that three client engagements are quietly competing for the same two analysts, and fixes it before anyone misses a deadline.

This is a cross-functional role with real authority and real accountability. You will work closely with intelligence, engineering, sales, and finance, and you will be measured on delivery consistency, margin discipline, and whether the processes you build actually get used.


Responsibilities

Service delivery management: Own the operational execution of client engagements and recurring services. Coordinate scheduling, resourcing, and handoffs across teams so commitments are met on time and to standard.

Process design and improvement: Document, standardize, and continuously improve core operating processes — intake, delivery, escalation, quality review, and reporting. Retire steps that exist only because they always have.

Capacity and resource planning: Forecast workload against team capacity, identify constraints before they become failures, and work with department leads on staffing, prioritization, and utilization.

Performance reporting: Define and maintain the operational metrics leadership runs on — utilization, delivery timeliness, SLA attainment, margin by engagement, and quality indicators. Present findings with a recommendation attached, not just a dashboard.

Vendor and license management: Manage relationships with suppliers, data providers, and software vendors. Own renewals, license utilization, contract terms, and cost control, and challenge spend that is no longer earning its place.

Budget support: Partner with finance on operational budgeting, expense tracking, and cost analysis. Flag variances early and explain the operational cause behind them.

Quality and compliance: Ensure operational processes align with internal quality standards, client contractual obligations, and the requirements of the security and privacy frameworks under which we operate. Support audit and evidence collection activities.

Risk and continuity: Identify operational risks and single points of failure, maintain business continuity and incident escalation procedures, and run the post-incident review that produces an actual fix.

Cross-functional coordination: Serve as the operational connective tissue between delivery, sales, engineering, and finance — translating commitments made in one function into work that another can execute.

Team leadership: Supervise and develop operations and administrative staff, set clear expectations, and build a team that raises problems early rather than absorbing them silently.


Requirements

  • Minimum of a Bachelor's degree in Business Administration, Business Management, or an equivalent major
  • 5+ years of operations, service delivery, or business management experience, including at least 2 years with supervisory or team leadership responsibility
  • Demonstrated success designing and implementing operational processes that measurably improved efficiency, quality, or cost
  • Strong analytical ability, with fluency in spreadsheets and comfort building and interpreting operational reporting
  • Experience with resource planning, utilization management, or capacity forecasting in a services or delivery environment
  • Vendor management and contract or renewal negotiation experience
  • Working knowledge of budgeting, cost tracking, and basic financial analysis
  • Proficiency with project and workflow management tooling, and the discipline to keep systems of record accurate
  • Excellent written and verbal communication, with the ability to hold peers and senior stakeholders to commitments diplomatically
  • Sound judgment under competing priorities and a bias toward resolving problems at the root cause
  • Must be legally authorized to work in the United States without sponsorship

Preferred Qualifications

  • MBA or equivalent graduate business qualification
  • Experience in a cybersecurity, managed services, consulting, or technology services environment
  • Familiarity with compliance and audit frameworks such as SOC 2, ISO 27001, or NIST
  • Process improvement certification, such as Lean, Six Sigma, PMP, or ITIL
  • Experience supporting or scaling operations at a growth-stage company
  • Exposure to workflow automation tooling and a track record of eliminating manual work
  • Understanding of SaaS or services business models, including margin structure and recurring revenue operations
